This policy explains how CYA Mobility ("we", "us") handles information collected through this website, www.cyamobility.com, and through CYA Paperclip, our internal integration with QuickBooks Online.

Information we collect on this website

When you contact us by phone, email or a website form, we receive what you choose to send us, such as your name, contact details and message. We use it to answer you and to provide the products and services you ask about. We don't sell it, and we don't use it for third-party advertising.

CYA Paperclip (our QuickBooks Online integration)

CYA Paperclip is a private tool that CYA Mobility built for its own staff. It isn't offered to other businesses or the public.

  • Whose data: it connects only to CYA Mobility's own QuickBooks Online company.
  • Read-only: it can read accounting records, such as customers, invoices, payments, vendors and reports. It can't create, change or delete anything in QuickBooks.
  • Why: to prepare internal reports and summaries and to answer staff questions about our own business.
  • Who processes it: our systems send requests to an AI service provider (Anthropic) to produce those reports and summaries. Encrypted backups are stored with Google Cloud. These providers process the data only to deliver their services to us. We don't sell this data or share it for advertising.
  • Security:
    • The integration runs on our own server, on an encrypted disk, and is reachable only by authorized staff over a private network.
    • Access credentials are kept in encrypted storage.
    • Backups are encrypted before they leave our server.
  • Retention: we keep data only as long as we need it for our business and legal obligations. Backups are rotated automatically and kept for at most 12 months.
  • Disconnecting: CYA Mobility can revoke the integration's access at any time in QuickBooks Online. When access is revoked, the integration can no longer read any data.

If you're a patient or customer, how we use and disclose your health information is described in our Notice of Privacy Practices. It's available on request using the contact details below.

Children

This website isn't directed to children under 13, and we don't knowingly collect their information.

Changes

We may update this policy. The effective date above shows when it last changed.
